Job Summary:

Initial Assignment:  Patient Services/450 Speedvale Avenue, Guelph ON - Regular Day Shift.

GENERAL ACCOUNTABILITY:

This role is responsible for the implementation, communication and monitoring of specific project plans to meet goals and objectives including coordination and delegation of work assignments for internal resources, tracking milestones and monitoring project budgets and other resources.

NATURE & SCOPE: 

  • Prepares standard project plans, schedules and project documentation reports.

  • Coordinates program evaluation, analysis, and program improvement activities.

  • In collaboration with Director, internal, external agency and regional groups, develops overall project plans.

  • Handles complex problems in an expedient and efficient manner requiring professional judgment and latitude for independent action within generally defined policies and procedures.

  • Coordinates and delegates work assignments for internal resources.  Directly supervises staff as appropriate.

  • Implements, communicates and monitors specific project plans to meet goals and objectives including: tracking milestones, monitoring project budgets and other resources.

  • Proactively identifies risks and develops plans to mitigate.

  • Coordinates and leads project status meetings.

  • Develops and delivers presentations using various visual tools (power point graphics etc.), to effectively communicate to stakeholder groups.

  • Other duties as required. 

Relationship Management

  • Establishes and maintains effective working relationships with CCAC colleagues, internal stakeholders, inter-agency partners as well as inter-regional partners.

  • Works with colleagues on internal or external committees.

Knowledge

  • In depth knowledge of workflows relevant to business services, departmental projects and enterprise level projects.

  • Awareness of policies and procedures, and resources for obtaining support and knowledge of service agreements in place.

  • Knowledge of approaches, techniques and tools used to triage and troubleshoot workflow issues.

  • Good knowledge of performance improvement approaches used in healthcare and community care settings.

  • Proficiency in MS Project and/or other planning software and MS Office Applications (i.e. Word, Excel, Power Point etc.).

  • Good knowledge of CCAC priorities, policies, practices and service standards. 

Accountability & Decision Making

  • Under the direction of the Director, position is accountable for administering projects and participating in the management of projects.

  • Accountable for providing accurate and appropriate information to the management team and external partners to facilitate decision making.

  • Coordinates program evaluation, analysis, and program improvement activities

  • Analyzes problems and develops recommendations for corrective action.

  • Participates in resolution of concerns. 

Leadership

  • Ongoing project management responsibilities.

  • May provide guidance, instruction to internal and external parties and direct supervision to internal employees. 

Communication

  • Demonstrates strong communication and presentation skills to prepare community based strategic level presentations, reports and correspondence.

  • Highly skilled in group facilitation, active listening, and oral and written communication to obtain beneficial outcomes in multi stake holder interactions.

  • Strong collaborative skills to participate on committees and to work with colleagues both internally and externally.

  • Advanced oral and written proficiency in English. 

QUALIFICATIONS: 

  • Undergraduate degree or equivalent experience.

  • 5 + years of progressively responsible experience in a project management role.

  • Professional certification in project management – PMP certification preferred.

  • Possess excellent knowledge and experience with project management tools.

  • Demonstrated ability to independently manage multiple projects simultaneously and successfully close out projects.

  • Demonstrated management skills to influence others, provide leadership, build teams, problem solve and resolve conflict.

  • Superior skills in facilitation, business analysis, negotiation, organization, written and oral communication and relationship management.

  • In depth knowledge of workflows relevant to business services, departmental projects and enterprise level projects.

  • Awareness of policies and procedures, and resources for obtaining support and knowledge of service agreements in place.

  • Knowledge of approaches, techniques and tools used to triage and troubleshoot workflow issues.

  • Proficiency in Eclipse PPM and/or other planning software and MS Office Applications (i.e. Word, Excel, Power Point etc.).

  • Good knowledge of CCAC priorities, policies, practices and service standards.

  • Demonstrate strong communication and presentation skills to prepare community based strategic level presentations, reports and correspondence.

  • Highly skilled in group facilitation, active listening, and oral and written communication to obtain beneficial outcomes in multi stake holder interactions.

  • Strong collaborative skills to participate on committees and to work with colleagues both internally and externally.

  • Advanced oral and written proficiency in English.

  • Works with colleagues on inter or intra CCAC committees.        

  • Ability to travel within Waterloo Wellington area.
